Rental arrangements for equipment and facilities must be made well in advance by submitting a Cluster Request Form! All rental services are subject to a 8.25% sales tax. Requests for computer services made later than the required notification period (generally 2 weeks) may be subject to an additional 15% rush fee. Meyer Library Classrom RentalAll of our classrooms are booked for this year. Computer Cluster AccessAcademic Computing has Macintosh OS X and Windows XP computer clusters in Meyer Library and Tresidder Memorial Union. All cluster computers require a SUNet ID with full sponsorship for login. Individuals without a current SUNet ID must have a Stanford Department sponsor them to request privileges. For more information on sponsorship, consult http://sunetid.stanford.edu/. Residential Cluster RentalMost of Stanford's residence halls have a designated computer cluster, typically accommodating a laser printer and two to ten Macintosh OS X or Windows XP computers. You may customize the designated computer cluster for your conference, renting up to the designated number of computers in that cluster (as defined by Residential Computing). To look up the normal hardware setup of a particular residential cluster, (i.e. the dorm you will be staying in for the summer) please see our page on Residential Cluster Information. These computer clusters allow for 24 hour access, are secure, and are configured to make the best use of the Stanford University network. Additionally, all cluster computers come with a variety of high-end software, such as Microsoft Office, Adobe PhotoShop, and Macromedia Dreamweaver. For a detailed list of software, please see our list of Available Software. Laser printers (1200 dpi) in the residence hall clusters come with a partially full toner cartridge and a full paper tray. You can either supply extra toner and paper yourself, or request more from Residential Computing and pay the associated costs. To request more paper or toner, email paper@rescomp.stanford.edu. Rental of a residential computer cluster requires two weeks prior notice to avoid additional fees. Additionally, hardware troubleshooting support for a Residential Computer Cluster is available free of charge with a 24-hour response time. However, associated charges will apply for theft or damage not caused by normal wear and tear of cluster equipment. Please note that computer cluster space is available to rent for computer use only and may not be used as storage or to house conference participants. Cluster rental requests will be granted subject to availability and feasibility. Cluster rentals are not guaranteed prior to written confirmation. Below are our rates for setup and daily/weekly/monthly rental of equipment. The clause "per device" refers to computers, printers, scanners, and wireless access points. For example, a conference wanting to setup a cluster with 4 computers, 1 printer, and 1 scanner for a week would be charged the setup fee of $30 per device ($30 * 6 = $180), plus the weekly rental rate of $150 per device ($150 * 6 = 900), for a total of $1080 for the entire week. This includes 24 hour access to the computer cluster, secure connections, configured computers, pre-installed high-end software, and 24-hour hardware/troubleshooting support. But, does not include taxes, additional fees, or special discounts which are assessed at the conclusion of your conference.

Keep in mind that you are limited, by physical space, in the number of devices you can rent for your particular cluster. Setting Up a Private Wireless Network for Your ConferenceWhile wireless networking is available on campus, it is far from a substitute for wired connectivity. Signal strength varies greatly and some conference participants have been frustrated by the inconvenience of being tethered to the wall. Luckily, Summer Conference Computing Services can set up private wireless networks for conferences that would enjoy the luxury of private, in-house, wireless connectivity. Participants still have to register their computers (get IP addresses, which includes a per-computer fee), but for conferences looking for a bit more mobility, wireless is a nice convenience that Summer Conference Computing Services can now arrange in virtually all residences. Please Note: Because of the growing availability of wireless networking at Stanford in academic areas, if your conference participants choose to bring laptops, they should strongly consider getting 802.11b (or g) wireless cards, from any major vendor. Though many newer laptops come with wireless cards built in (don’t require a separate card). Please understand that due to limited speed, reliability, and security, wireless networks (even private networks) are not currently a substitute for wired networking. It serves more as a useful additional resource on campus, than a main point of connectivity. The cost required to set up a wireless network is dependent on the size of the coverage area. Since Stanford dormitories vary significantly in size, the price will vary based on your particular residence. To receive a quote for your particular conference, just complete a Private Wireless Network Request Form. Soliciting a quote in no way commits you to setting up a wireless network. |
